HVAC Field Report
Privacy Policy
The short version
HVAC Field Report keeps your business data on your device. There is no account, no login, and no server operated by the developer. Your reports are not uploaded anywhere.
What the app stores, and where
Everything you create in HVAC Field Report is stored in the app's own storage on your iPhone or iPad:
- Customers, service addresses, and contact details you enter
- Equipment records, including nameplate photos and recognized nameplate text
- Service and maintenance reports, including complaints, findings, work performed, measurements, parts, refrigerant details, checklists, and internal notes
- Photos you take or import into a report
- Visit transcripts you accept
- Customer signatures and typed acknowledgments
- Generated PDF reports
- Your business profile and logo
These files are protected by iOS file encryption
(NSFileProtectionCompleteUntilFirstUserAuthentication), which means they are
encrypted at rest and readable only after you have unlocked the device at least once
since it was powered on.
What the developer receives
Nothing.
The app has no developer-operated server, no account system, no analytics SDK, no advertising SDK, and no crash-reporting service that transmits your content. The developer cannot see your customers, your reports, your photos, or your signatures.
What leaves the device
Only through services you invoke, or Apple services the app depends on:
Apple services
- App Store / StoreKit — used to sell and validate the optional Pro subscription. Purchases are handled entirely by Apple. The developer receives Apple's standard aggregate sales reporting, which does not include your report content.
- System speech recognition — when you dictate, iOS may download its own on-device language files from Apple. The app requests on-device recognition. Apple's privacy policy governs this system service.
- Vision text recognition — nameplate scanning runs entirely on the device. Nothing is transmitted.
- On-device language model — where your device supports it, Apple Intelligence may be used to organize your own dictated sentences into report sections. This runs on the device. It is optional; the app works fully without it.
Actions you take
- Sharing a PDF — when you tap Share, iOS hands the file to whatever destination you choose (Mail, Messages, AirDrop, Files, a printer, another app). Where it goes after that is governed by that destination's own policy.
- Exporting data — CSV and JSON exports are written to the app's storage and handed to the share sheet. You choose the destination.
Permissions
Every permission is optional, and a complete report can be created with all of them switched off. None is requested during setup — each is asked for the first time you use the related feature.

Location is never requested. The app does not use, collect, or store your location.
Photos you take inside HVAC Field Report are stored only in the app. They are not written to your personal camera roll.
Logging
The app writes diagnostic messages to the system log. These contain identifiers, counts, durations, and state names only.
The app never logs: customer names, company names, addresses, phone numbers, email addresses, transcripts, nameplate text, photo content, signatures, or report content.
Data retention and deletion
- Data stays on your device until you delete it.
- Deleting a customer removes their service addresses and equipment. The app refuses to delete a customer who has finalized reports, and warns you before any deletion.
- Deleting a draft report removes its photo files.
- Deleting the app removes the data stored on your device, unless you have exported your reports or have a device backup (iCloud Backup or an encrypted computer backup). Export anything you need to keep before deleting the app.
Exporting your data
You are never locked in:
- Every finalized report keeps its PDF on the device and can be viewed and shared at any time — including after a subscription expires.
- Equipment records export as CSV or JSON.
- Report metadata exports as JSON.
Subscriptions
HVAC Field Report offers an optional Pro subscription through the App Store. Purchases, renewals, refunds, and cancellations are handled by Apple. The app stores only a small local record of whether a subscription is active — a boolean, a product identifier, and an expiration date. That record contains no personal information.
If a subscription lapses, you keep every customer, site, equipment record, draft, finalized report, and PDF on the device, including viewing, sharing, and exporting them. Only new Pro-only actions pause.
Children
HVAC Field Report is a professional tool for HVAC technicians and contractors. It is not directed at children and does not knowingly collect information from children.
Third parties
The app includes no third-party SDKs. There is no Firebase, no RevenueCat, no analytics provider, no advertising network, and no external AI service.
Changes to this policy
If this policy changes, the updated version will be published at this URL, with a revised "Last updated" date.
